About the role

To provide a administration support service for the Healthcare Support Workers Development Team, acting as the point of contact for general queries between the Trainees and the HSWD Team to ensure Trainees are completing the programme and are supported during their time on their placement. Ensuring that all stakeholders are updated regularly and that any escalations are dealt with in a timely manner

Key Tasks:

  • Develop a good understanding of the organisation, its operations and deliverables and ensure compliance with NHS Professionals policies and procedures within work remit
  • Support the creation, development and maintaining of relationships with Trust Services, Ward Managers, Trainees and internal NHS Professionals Departments through polite and cooperative communications to help support collaborative working
  • To provide a point of contact for telephone, email and face to face enquiries relating to the Healthcare Support Worker Trainees and for the Trust Services Teams, responding to their queries and needs as required as well as allocating emails and calls to other members of the team.
  • General office duties including typing, photocopying, emails, telephone enquiries, and diary management
  • Be an advocate of the NHS Professionals service and act in such a way as to uphold and enhance good standards and the reputation of NHS Professionals service
  • Maintains accurate documentation and records following discussions or incident reporting with clients or flexible workers escalating and raising matters with the Practice Facilitator.
  • Work with the Practice Facilitator for all Drop in and Mandatary Training calls, ensuring a rolling calendar of events for 6 months.
  • Ensure trainees are working 30+ hours a week and ensuring Trust Services are aware of any discrepancies.
  • Provide a flexible, co-operative role covering for the absence of colleagues and the demands of the department. This may require working at other times of the day or week with notice or at other NHS Professionals locations
  • Attend and contribute to meetings.
  • To be aware of Data Protection legislation and, so far as is reasonably practicable, ensure compliance with the requirements of the Act
  • Uphold the standards and behaviours of the NHSP way at all times

Operational Responsibilities:

  • Responsible for monitoring the inbox and allocating tasks to the team to include Support Centre Plus tickets
  • Open and distribute incoming mail.
  • Manage the shift bookings for the first week for trainees and ensure they are authorised on time
  • Responsible for the graduations and arranging certificates for all successful trainees upon completion of their placement
  • Support and inform Trust staff and Healthcare Support Worker Trainees on NHSP processes, including Training sessions, NHSP systems and graduations
  • Responsible for organizing, inviting and follow up for the online training modules and work with the clinical governance team to arrange regular scheduled TEAMS calls.
  • Support the Team Managers with the running of management reports for Trainees on Placement and sending reports to Trust Services.
  • Participate and attend Training sessions on calls or in person when required. This may involve travel to Trust Sites.
  • Issue NHS Professionals name badges to candidates.
  • Support the Team Manager with updates on Campaigns and retention rates for Trusts.
  • Ensure weekly reporting completed on time and sent to manager to ensure tracking of all tasks
  • Arranging, organising and facilitating the On Placement Support calls for Trainees
  • Weekend, evening work and travel around the UK may be required

Resource Management:

  • Ability to travel to other client and NHS Professionals offices when required

Communications:

  • Respond to applicant queries professionally and proactively
  • Ensure that communication between Healthcare Support Worker Trainees and NHS Professionals are maintained to a high standard
  • Act as point of contact for Healthcare Support Worker Team, communicate customer needs and escalate any service issues to the Team Manager as appropriate.
  • Deal with any concerns or complaints ensuring a positive outcome.
  • Support the Practice Development Nurses in holding regular “Drop-Ins” for trainees and the Healthcare Support Worker Team.
  • Manages own time and workload effectively, ensuring demands and objectives are prioritised and delivered
  • NB: Due to the nature of the role some day to day supervision and task allocation will be overseen and undertaken by the Team Managers. This role is a FTC ending on 31 March 2024

​To be successful in this post you will need to have the following attributes:

  • Able to work in Hemel Hempstead between 3-4 days a week and then working at home 1-2 days
  • During Probation expect the candidate to be in the office for the full week
  • Able to use spreadsheets
  • Able to work Monday - Friday 9am-5pm
  • Work well as part of a team and be able to use your own initiative
