As part of the GCSG organization, the Joint Venture EMEA team manages Amex’s Joint Ventures (“JVs”) across Switzerland, the Middle East and Saudi Arabia. The JVs issue a broad range of consumer, corporate and small business cards and acquire merchants on the American Express network. Through these partnerships, the team provides exciting and innovative new consumer products in JV markets, enhances our merchant coverage, strengthens the commercial business’ value proposition and the American Express brand. Our team’s unique role is to bring American Express to the JV markets and back them to enable their success. The EA role will report into the JV EMEA B50 VP who has responsibility for the Joint Ventures team of ~20 colleagues and the JV EMEA B45 VP who has responsibility for Middle East Joint Ventures.


How will you make an impact in this role?

  • Extensive complex calendar and meeting management, involving coordination with multiple parties, internally and externally, and including generation of reminders to ensure deadlines are met
  • Extensive travel planning and support for leader's trips, visas requests and logistics
  • Event management including arranging on/off site/virtual meetings, team meetings, town halls and training sessions including booking rooms, arranging catering and agendas whether ad hoc or regular
  • Preparation of meetings with senior executives (e.g., documents, video conferencing, Live Meeting, and other logistics)
  • Support administration of enterprise processes for which leader is responsible (e.g., staff planning) maintain document filing (primarily electronic)
  • Office administration (e.g., ordering computers, equipment, supplies, and liaising with tech support as needed)
  • Manage expense reports, IDs, Access, Payroll in line with policy, including review of approval requests submitted to leader
  • Maintain organizational charts, Business Continuity Planning and distribution list
  • Responsible for all on-boarding activities of new hires as appropriate
  • International time zone management
  • Produce presentations using draft content from leader and others
  • Support ad-hoc projects and initiatives
  • Ancillary administrative support for members of the leader's executive office including seamless support of the matters delegated by the leader to his Manager Assistant
  • Occasionally supporting senior executives visiting and external partners from abroad or as needed
  • Continually learn and act as knowledge resource for company administrative processes and policies
  • Demonstrate leadership and exemplify collaboration with other Executive Assistants in the UK, around the world, external and across the enterprise
  • Experience of DocuSign process for Contract Signings
  • JV Opex management – monthly reporting
  • Demonstrate excellent external relationship management skills with a high degree of cultural sensitivity

Minimum Qualifications:

  • Significant previous experience as an Executive Assistant, ability to work well in a dynamic and fast-paced organization while maintaining professionalism and composure at all times
  • Strong sense of integrity and ability to handle sensitive issues sensibly and maintain complete confidentiality
  • Ability to communicate comfortably and credibly with all levels of management, associates and external business contacts
  • Ability to work effectively and flexibly with others and to build trusting relationships across the company
  • Attention to detail, and visually oriented in producing material, especially for Powerpoint
  • Timely follow through, ability to multitask and prioritize sensibly, highly organized Excellent written and verbal communication skills (email, phone, in person),
  • Strong interpersonal skills, ability to proactively identify and resolve issues, desire to take initiative and ownership, plan ahead and see things through to timely completion
  • Good team player who collaborates well and engages with all team members
  • Proactive, able to work independently and with a positive attitude
  • Flexible and easily adaptable to changing priorities
  • Strong computer skills including experience with Microsoft Outlook, Slack, MS Office (Word, Excel, PowerPoint), and comfortable adapting to new technologies Knowledge of company operating systems (e.g. Concur, Ariba, Reserve, TechCare, HR, Webex)
