Are you looking for experience in administration and marketing for a passion-based business led by a female, clinician and entrepreneur that improves the financial lives of healthcare professionals?

We are currently recruiting a Executive Virtual Assistant to be responsible for the management and support the expansion of the Medics on FIRE initiative as part of Azile Limited; trading as Azile Medical.

This position is mainly virtual and ideal if you are genuinely interested in gaining experience in the areas of customer service, virtual assistance, online business management, marketing, and personal development.

The primary focus of the Executive Virtual Assistant is to support Dr Elizabeth Eyitayo, the CEO and Founder of Medics on FIRE initiative and Azile Medical, a Recruitment and Personal Finance Support Provider for Healthcare Professionals.

The ideal candidate for the Executive Virtual Assistant position will have skills in the following areas:

  • Customer service
  • Virtual office management
  • Calendar management

  • Be familiar with current technology tools such as Microsoft Office, Google Calendar, Dropbox, WordPress, Teams and Slack
  • Be comfortable with using Social Media for marketing including LinkedIn Twitter, Facebook, YouTube and Instagram
  • Be able to juggle multiple tasks at one time without dropping the ball
  • Have a reliable internet connection and be able to check email several times a day to communicate with our team
  • Complete weekly timesheets to account for 20 - 30 hours of work per week.
  • Have a Type-A attention to detail and be proficient at typing without making grammatical or spelling errors.

Top potential candidates will have:

  • Past Marketing, viral content creation including video creation and social media experience
  • SEO optimisation experience
  • Impeccable Customer and Client Care skills

Your responsibilities will include:

Administrative Support & Calendar Management

  • Manage the CEO’s personal and professional calendar
  • Schedule all appointments with a high-level of detail
  • Coordinate all business travel arrangements for CEO
  • Communicate on behalf of CEO – distribute announcements and time sensitive emails to appropriate staff and vendors
  • Manage email and hard-copy correspondence for CEO
  • Coordinate logistics for CEO’s live and virtual speaking engagements and interviews
  • Work proactively with staff and vendors to assist the CEO in completing daily to-do list
  • Provide clear updates on items still in progress
  • Complete special projects for CEO (collaborate with other staff and vendors as appropriate)
  • Manage purchases of client gifts and office items
  • Occasional travel with CEO to meetings and events

Customer Service & Client Care

  • Provide customer service and client care with friendliness, professionalism, and a relentless attention to detail.
  • Be a reliable point of contact for current and prospective clients and customers.
  • Schedule appointments with current and prospective clients.
  • Provide time-sensitive technical support for clients and customers.
  • Update client and customer data in CRM database
  • Facilitate client and customer feedback, testimonials, and success stories.
  • Be a liaison for staff and vendors.

Live & Virtual Event Support

  • Set up virtual events using teleseminar and webinar software.
  • Manage transcript creation for virtual events.
  • Upload call recordings and transcripts for virtual events.
  • Manage registration process for live events.
  • Be the staff liaison for Event Manager.
  • Provide on-site assistance for live events, as your travel schedule permits.

Virtual Office Management

  • Manage online storage of documents.
  • Monitor online mailbox virtual messages etc regularly and follow up as appropriate.
  • Upload documents as directed by staff and vendors.
  • Organise document library
  • Attend weekly virtual staff meetings conducted every Monday and to be available to the CEO as required during working hours.

Location: Mainly Virtual and Home Based. Monthly face to face meet-up at least once a month at agreed location in North or East London pending the time a new office is available.

Job Types: Part-time, Fixed term contract, Temp to perm
Contract length: 12 months
Part-time hours: 25 per week

Salary: £11.00 per hour
