Job Description


We are looking for an Executive Assistant to join our International Legal Team and support the Senior Vice President, International General Counsel and the Vice President, Associate General Counsel , International based in London (Shoreditch Office). You will also lend support to the larger International Legal Leadership Team consistent with the overall role accountabilities set out below.

We are looking for someone with the interest and ability to perform these responsibilities:

  • Provide critical administrative and related support as an Executive Assistant to the International Legal Team’s leadership, often requiring independent work and problem solving.
  • Handle detailed and complex international travel arrangements, including travel logistics and itinerary building.
  • Prepare and maintain the team’s budget, including processing invoice, obtaining the appropriate authorization for payment and processing expenses.
  • Maintain and update the International Legal Team weekly and monthly calendar.
  • Coordinate meetings for the Senior Vice President and Vice President to ensure timely touchpoints with legal and business partners across multiple time zones
  • Extensive liaising and networking with legal and business partners across the international markets.
  • Provision of weekly updates on team projects.
  • Organize and schedule meetings:
    • Meeting room/venue availability and booking.
    • Specific technology available & operational to meet attendee needs; and
    • Preparation and distribution of agendas and related materials.
  • Support to advance special projects, as required.
  • Coordination of signatories and other formalities for legal paperwork.
  • Understand the International Legal Team’s goals, contribute to the team’s success by being an active participant, and promote a shared responsibility for achieving results.

  • Proven track record: Success as an Executive Assistant within a large, complex organization
  • Exercises sound judgment: Able to adapt quickly to changing situations.
  • High levels of integrity: Always handles confidential & sensitive information with discretion.
  • Strong organizational skills: Ability to balance conflicting priorities and multi-task in a fast-paced environment.
  • Exceptional interpersonal and communication skills: Ability to positively engage with stakeholders across the organization and be the first point of contact on behalf of the International Legal Team leaders.
  • Tenacious and resilient: Proactive attitude and a growth mind-set with the ability to thrive on autonomy and problem solve independently.
  • Highly resourceful team player: Outstanding organizational skills and a strong attention to detail.
  • IT aptitude: Advanced MS Office skills with the ability to utilize or quickly learn technology to support business outcomes.
