We have a new opportunity for an Executive Assistant to join us here at Virgin Media O2 to support our CFO. The purpose of the role is to provide extensive secretarial and administrative support to the CFO and the wider division, while building connections that really matter with internal stakeholders across the business.

The life of an EA at Virgin MediaO2 is pretty exciting! You will have key exposure across the organisation and work alongside some of our inspiring senior leaders. We are looking for someone who is highly organised and able to communicate efficiently so that past, present and future activity is understood and planned for. You will be the CFO’s first point of contact for both internal and external customers, managing highly confidential information and act as a gatekeeper as and when appropriate.

You will have the ability to positively manage internal and external customer’s interaction and expectations, as well as working closely with other Executive EAs and Executives. You will also be accountable to submit board and confidential papers to strict deadlines and prioritise all of the CFO's commitments, including diary management and booking accommodation/travel arrangements.


Key responsibilities:


  • Handles all communications with confidentiality and accuracy, ensuring that messages are redirected appropriately and communications are tracked and responded to accordingly.
  • Manage both scheduled and ad hoc visits and event requirements by providing an end to end experience inclusive of; hosting arrival, technology (tele/video conferencing), room bookings, materials, refreshments, travel and hospitality.
  • Manages diary arrangements including both internal and external meetings covering all associated travel and accommodation arrangements and paperwork; ensures the EC Member is fully prepared for their schedule.
  • Effectively manages the diary anticipating location changes, reschedules and challenges.
  • Collate and prepare all documents/paperwork required for meetings and ensure that all are prepared in a timely manner including NED activity
  • Manages all e-mail, telephone queries and correspondence efficiently; prepares draft responses and deals with issues wherever appropriate. Flags and files emails in appropriate folders.
  • Takes accurate minute / action points if required; updates these and collates, consolidates and distributes to all attendees ensuring deadlines are met.
  • Creation of PowerPoint presentations, Excel spreadsheets as needed. Produces memos, standard and ad hoc reports, letters, presentations to deadline and agreed standards.
  • Tracking CFO financials approvals ensuring appropriate briefing in advance for large requisition sand contracts. support in advance (requisitions, docusigns, Ariba etc)
  • Ensures adherence to corporate governance and promotes consistency and best practice.
  • Onboarding suppliers, budgeting, purchase order and invoice processing for CFO related activities
  • Diary and ad hoc support for CFO’s Business Mgr

Essential Knowledge, Skills and Experience


  • Significant experience of supporting senior executives, preferably C-level and above.
  • Exceptionally strong level of computer literacy/competence; skills in Microsoft Office including e-mail systems, MS Teams, PowerPoint and Excel
  • Experience of managing a highly changeable calendar (multiple locations) with extreme tact and where diplomacy is essential.
  • High level of accuracy and attention to detail
  • Strong interpersonal skills including the ability to develop effective working relationships and work as part of a team
  • Good organisational, prioritisation and decision making skills
  • Ability to show tact, diplomacy and understanding and work with extremely confidential material
  • The EA must be willing and able to travel between Virgin Media UK offices as and when required
  • This area gets a lot of communication from Telefonica Teams in Spain, so fluent Spanish would be an advantage but not essential
