Your New Role...

To provide administrative and secretarial support to General Manager, UK and Ireland, and general support to Warner Bros. Discovery UK and Ireland leadership team in relation to leadership team events/activities.

This position requires a candidate, who is confident at communicating effectively at executive management level, is pro-active, efficient, organised and is able to work using own initiative. Additionally, the ability to juggle multiple tasks and priorities to be one step ahead is essential. The candidate will also be exposed to highly confidential information therefore needs to be trustworthy.


Your Role Accountabilities...

  • Diary management, coordinating and arranging internal and external meetings, Zoom, video conferences and room bookings and liaising with tech support to ensure AV equipment is running correctly
  • Managing and responding to emails and correspondence on behalf of the General Manager, UK and Ireland, ensuring sensitive information is dealt with in a confidential manner
  • Greeting clients, guests and occasionally talent when on-site
  • Booking both domestic and international travel for business trips and liaising with other local offices and EA’s in other territories/regions
  • Devising itineraries for overseas trips and events and any guests or freelancers travelling or providing services on behalf of WBD
  • Collating and gathering all required travel docs inc. visa applications, Covid guidelines/docs, and any other relevant paperwork required for travel
  • Supporting guest Senior Execs, when travelling to offices, and working with their EAs to provide support and assistance when requested
  • Processing and managing expenses/receipts
  • Assisting with PowerPoint/Keynote Decks and presentations as requested
  • Assisting with IT requests, and onboarding for new starters
  • Updating Org charts as needed
  • Assisting with confidential Project documentation as requested
  • Raising POs and tracking invoices
  • Provide cover for other EAs during any absence periods (e.g. Holidays/sickness)
  • Supporting the organization and running of projects, including organisation of conferences/Town Halls and away days.
  • Proactively build and develop internal and external networks of contacts and build knowledge of key business matters in order to effectively identify and screen priorities.
  • Other ad hoc duties as required.

Qualifications & Experience...

  • Proven experience as an Executive Assistant to a Senior Executive ideally within an International environment.
  • Able to demonstrate strong interpersonal and communication skills, both written and verbal.
  • Resilient, determined and flexible.
  • Able to use initiative to add value to the organisation.
  • Trustworthy and able to deal with highly confidential and sensitive information and material in a discreet manner.
  • Ability to work independently and be proactive to anticipate needs of the key stakeholders and remain calm under pressure.
  • Must have a diplomatic, flexible approach and strong interpersonal skills.
  • Outstanding ability to multi-task and constantly prioritise with an often conflicting workload.
  • Capable of establishing and maintaining strong working relationships at all levels and providing a professional, accurate and timely service at all times.
  • Proven high degree of accuracy and attention to detail at all times, even with the most routine tasks.
  • IT - Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Zoom conferencing skills
