We are partnering with a highly innovative, fast-paced and tech-savvy business on a newly created EA role reporting directly to the Board. The EA provides executive and administrative support to the Founding Directors and Board as well as, on occasion, to the Senior Leadership team (SLT). The EA serves as the primary point for coordinating internal and external activities and communications on all matters pertaining to the board. 90% of the workforce works remotely, so applicants should be comfortable working in this environment. There will be some face-to-face meetings which will be in the South East, so candidates should be located Kent, Essex, Sussex, Surrey or London.

Some Key duties include:

  • Proactively manage, control, and fully understand Board diaries using discretion and business knowledge to prioritise commitments. This will include extensive arrangements of appointments and meetings across different time zones, locations, and offices, using different processes and IT infrastructure.
  • Liaising regularly with Board to identify work commitments, prioritising workloads accordingly.
  • Attending Board meetings, senior leadership team meetings and ad-hoc meetings as required to take minutes/notes and follow up on actions.
  • Prepare for all meetings, including preparation of all pre-reading documentation (if appropriate); follow up and coordinate all meeting actions, ensure they are properly recorded and dealt with, including any necessary follow-up communications and take necessary action for meetings to keep projects to timescales.
  • Build strong, effective, and comprehensive knowledge of internal and external customers and their teams.
  • Assisting as required in marketing and customer activities, including research and obtaining customer information and data, as well as involvement in the preparation of proposals and presentations
  • Attend and contribute to business development meetings as required, detail and progress action points as appropriate.
  • Act as gatekeeper for Board, taking appropriate messages and ensuring they are passed on/followed up appropriately.
  • Using own initiative to manage email accounts: screening, prioritising, and dealing with incoming emails and post in Board absence; develop and maintain systems to promote efficiency.
  • Draft high-quality correspondence, documents, agendas, presentations and spreadsheets or other correspondence on behalf of Board, actioning responses if appropriate.
  • Being the point of contact for all current office landlords and colleagues, dealing with queries and admin management relating to the sites.
  • Supplier management.
  • Identify and facilitate knowledge sharing within the peer group and the wider team.
  • Identifying areas for continuous improvement and implementing solutions.
  • Maintain strong knowledge of key matters, business issues and ‘hot topics; so that appropriate priority is given to queries and requests.

You will have:

  • Significant experience at C-Suite / Board Level as an EA in a fast paced, service driven environment.
  • Be tech-savvy, highly organised, proactive, and diligent in nature
  • Have advanced Microsoft Office skills
  • Experience in managing projects
  • Strong commercial and financial acumen with the ability to think two steps ahead in an ever-changing environment
  • A thorough understanding of working in a service-driven environment and stakeholder/client/business confidentiality
  • Confident and professional manner with the ability to build strong relationships with the team
  • Excellent communication skills and the ability to interact at all levels
  • Strong organisational skills and excellent attention to detail
  • Ability to remain proactive and flexible at all times
  • Reliable, hardworking, work to tight deadlines and have the ability to remain calm when under pressure
  • Anticipate and identify potential problems and provide innovative solutions
  • Located in the South-East (Kent, Essex, Sussex, Surrey, or London)
