JOB DESCRIPTION OF GRANTS OFFICER

JOB TITLE: Grants Officer

ACCOUNTABLE TO: Board of the Charity (reporting to the Grants Manager)

Job Summary

The Grants Officer will support the Grants Manager to:

  • Deliver the Charity’s grants process, including the processes for spending designated funds.
  • Support members of the Birmingham Women’s and Children’s NHS Foundation Trust identify and develop new requests for funding.
  • Provide support on project implementation across multiple Trust departments
  • Producing routine and ad hoc financial and performance reports.

Principle Duties and Responsibilities

Grants and Designated Funds

  • Support Charity Grants Programme by which applications for charitable funding can be submitted to the Charity and assessed on behalf of Trustees.
  • Obtaining interim and final progress reports for all grants awarded, and taking steps to identify how effective grants have been at delivering their expected benefits.
  • Maintaining a database of all grants awarded and all designated funds, to contain financial information, up to date contact details, and a history of reports received and other correspondence.
  • Supporting the Grants Manager as a point of contact within the Charity for grant related enquiries.

Reporting to and Supporting Trustees

  • Designing and producing reports to summarise grant making and designated fund activity, escalating any issues to the relevant committee(s) and taking any actions delegated to the post holder.
  • Making recommendations for closing grants or designated funds where that would be in the interests of the Charity and its beneficiaries.
  • Designing and producing reports to summarise the operations of the Charity, including financial performance and compliance with agreed KPIs.
  • Liaising with the Charity’s staff and third-party providers to ensure relevant information is available in good time for circulating to Trustees.

Financial Management

  • Authorising expenditure of the Charity's funds in accordance with the Scheme of Delegations.

Development

Other tasks, commensurate with the seniority of the post, will be allocated over the duration of the contract of employment dependent on the needs of the Charity and the development of the post holder.

The post holder will seek to actively develop the Charity in response to the continually changing environment in which it operates and to take advantage of developments in best practice, new technology, and other opportunities that present themselves.

Health and Safety

Employees must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974) and the Manual Handling Operations Regulations (1992). This ensures that the agreed safety procedures are carried out to maintain a safe environment for staff and visitors to the Charity.
