Role Overview
Within this role you will provide efficient and effective support to the Group Head of Legal and further coordination of projects and activities within the wider Group Legal Team. Experience within PA and events management would be desirable, as detailed below.
What You’ll Do:

Support the Group Head of Legal.

Takes the lead in organising internal and external meetings, conferences, team building days, lunches, dinners, courses and conference venues, including arranging catering.

Support in the preparation of high quality communications, videos, reports and presentations.

Coordinating legal training for Bupa’s legal and business units.

Arrange for invoices to be approved and entered for payment via e-purchasing, updating the database for invoices paid, chasing copy invoices not received or which did not proceed through to payment, and resolving any outstanding issues (including liaising with the supplier). Re-charging invoices to other departments via email and updating recharge database. Accurately adding new suppliers on to the database.

Ensuring the correct and safe filing of original deeds, agreements and other documents in Group Legal's hard copy contract storage system, as well as electronic copies in the online document management system.

Assisting with general administration for the wider Group Legal team.

Owning and managing the global legal community spaces e.g. Workvivo and SharePoint. Including drafting global legal community communications.

General office duties, e.g. faxing, scanning, binding, photocopying, filing, archiving and shredding confidential papers.

Manage and own administrative tasks related to onboarding and offboarding new joiners and leavers of the team
What You’ll Bring:

Positive attitude and willingness to be included in legal team activities. Someone who is confident in boosting morale and interacts well with people of all personality types.

Excellent written, verbal and interpersonal skills with the ability to communicate at senior level with professionalism.

Excellent legal secretarial and administration skills

Ability to work autonomously and without supervision

General knowledge of MS Office, especially Word, Excel and PowerPoint.

Preferably experience in working as a legal secretary in private practice or equivalent in-house team.
