We’re seeking a future team member for the role of Executive Assistant to join our Global Distribution team. This role is located in London and is HYBRI, with 2-3 days per week in the office.

In this role, you’ll make an impact in the following ways:

  • Proactive diary management
  • Manage expense claims
  • Minute taking
  • Updating of PowerPoint presentation material
  • Telephone Management: Answer calls, take messages from contacts, clients and consultants, filter/prioritise all calls and assist the caller where possible
  • Interact with clients and business partners; handle highly confidential relationships and associated materials
  • Collating meeting information/reports
  • Manage holiday for the executive team
  • Provide cover to PA buddy as and when required in accordance with the buddy system
  • Provide other administrative support to senior staff travelling from the other geographies
  • Booking meeting rooms, restaurants, couriers and taxis
  • Make travel arrangements through the company travel provider
  • Organise senior/executive committee level group meetings and offsites. Arranging suitable venues and ensure the smooth running of the event on the day. This should include where necessary, assistance with the development of the agenda based on prior meeting notes and related correspondence
  • General assistance as required
  • Coordinating full IT support
