Golin are seeking an experienced office based assistant to support the agency. This is a great opportunity for someone who loves working in a fast-paced creative, supportive environment, who is extremely pro-active, solutions focused and highly organised. The purpose of the role is to ensure that our office space is an amazing place for our people to work from and our clients to visit, whether this is day to day working, client events or social occasions.

This will also be an office based role, with a minimum of 3 to 4 days per week working from our Shoreditch office.

Core Responsibilities & Capabilities

  • Ensuring the whole office space is always kept clean, organised and tidy
  • Being the go to, in person, contact point for any queries or questions the teams have
  • Partnering with Facilities and IT teams to ensure there is a client centric approach to work and problem solving
  • Organising and setting up catering and refreshments for client and internal meetings – purchasing breakfast/lunch or preparing hot drinks etc..
  • Manage meeting room bookings
  • Processing expenses for senior team, managing company credit card expenses, tracking invoices for the office and raising POs in a timely manner
  • Ensuring subscriptions are paid and login spreadsheet is kept up to date
  • Travel booking support for team
  • Office procurement and purchasing – stationary, catering etc
  • Reward coordination, team gifts, life events and celebration of occasions
  • Lead on on-boarding (IT, agendas, on-boarding pack etc)
  • Support with staff socials
  • Managing updates of email aliases and staff lists
  • Stock management including unpacking deliveries
  • Upkeep of internal administration – client lists, staff lists, org charts, presentation decks for meetings etc.

Experience & Skills

  • Experience in a fast-paced environment
  • Strong stakeholder management experience and skills
  • Excellent verbal and written communication skills at all levels
  • An approach which aims to problem solve and find solutions at all times
  • Great at building relationships at all levels
  • Effective and pro-active planning and organisational skills
  • High level of attention to detail
  • Ability to prioritise and manage workload
  • Excellent administrative skills
  • Computer literate with good knowledge of MS Office programs (Word, Excel, PowerPoint)
  • Approachable
