As a Portfolio Management Office (PMO) Analyst, you will support, enable and track the successful delivery of IT change portfolios working closely with the Project and Portfolio Managers assigned. This will be a 6 month contract.

The PMO will ensure all portfolio change is effectively tracked and reported to the CTO and IT Leadership Team as a whole.

You will be required to constantly find improvements for the PMO processes, project management tool (PPMA), the wider change delivery framework and the interaction with the business.

Key Responsibilities

  • Portfolio Planning - Participate in the portfolio planning process, which includes budgets, timelines and resource modelling and communicate the results to all relevant stakeholders
  • Promote Best Practice - Explain, negotiate and agree best change methodology and governance across IT to embed best practice across the project community and develop knowledge management for future projects from past projects
  • Continuous Improvement - Continually improve the PMO using the appropriate frameworks and methodologies, to ensure the effective delivery and control of the IT Change Portfolio. Work as a trusted partner to the business to add value to processes, portfolios and projects by suggesting new, enhanced ways of working
  • Project Tools – Build a strong relationship with The Anywhere Company (vendors of PPMA) and drive through improvements covering all areas of PMO. Become a Subject Matter Expert in PPMA and act as the point of reference for any platform queries, issues and required training. Contribute to and participate in the planning, testing and execution of functionality enhancements to the tool
  • Communication – Utilise a variety of tools to provide first class communication to stakeholders and users
  • Management Reporting – Create, analyse and distribute various Management Information to ensure stakeholders (including CTO and Technology Directors) have visibility of any conflicts, risks and issues, including mitigation/resolution
  • Governance / Compliance – Enhance and maintain governance for the delivery of the IT Portfolio, to ensure project delivery is compliant to the agreed standards
  • Quality Management and Assurance - Establish and manage a schedule of gate, milestone and quality reviews to ensure the required change standards are consistently delivered. Perform regular audits and health checks to ensure all deliveries are reviewed at key points and when completed
  • Portfolio Reporting - Develop and manage effective Portfolio reporting and meeting cadence including tracking KPIs as appropriate, to enable effective decisions/actions to be taken
  • Risk, Issue and Dependency Management - Work with relevant Project Managers and stakeholders to identify, manage and track risks, issues and interdependencies across the IT Portfolio
  • Relationship Management - Establish and maintain relationships with stakeholders at all levels throughout the organisation. Actively engage and work collaboratively with colleagues and partners

Our Must-Haves:

  • Educated to A Level or equivalent standard, having achieved Grade C or above (or equivalent) in Maths and English GCSEs
  • 5+ years proven experience in PMO – Portfolio Management.
    • Ability to influence and challenge stakeholders
    • Have knowledge of HP’s Project and Portfolio Management tool or a similar project management tool
    • Knowledge of waterfall and agile project management methodology
    • Strong presentation, written and verbal communication skills to build and develop relationships with internal and external stakeholders
    • Energy and determination to succeed in a very fast paced environment
    • Advanced Microsoft Office user
    • Passionate about change and the customer experience
    • Be self-motivated, supervise own workload and produce consistent, high quality outputs
      • Able to prioritise competing demands in a challenging delivery environment to ensure that work is delivered to tight timelines
      • Able to remain composed in stressful situations and work under pressure
      • Adaptable, personable, flexible team player with the ability to take ownership of tasks
      • Ability to work at a fast pace and pick up new tasks with ease
