Job Description


The Programme Coordinator for the Programme Development team contributes to the overall growth of events by supporting the team in ways of identifying and developing new and continued business relationships with partners, clients, and speakers.

For the past 25 years EBD Group has been passionate about facilitating global partnering around in the life sciences community. There will be the exciting opportunity to travel (domestic and international) within this role approximately 4 times per year.

Responsibilities

Program Coordination – 90%:

  • Manage speaker and session logistics, including tracking speaker operations, communication with high level speakers, processing registrations, requesting needed information such as title, bio or photo, setting up pre-event prep calls, conducting panel recordings, communication of production needs to the operations and digital editing teams.
  • Update event programs and training courses through tracking and input into our software systems including CORE and partneringONE
  • Support program development team to organize event agendas in both virtual and in-person settings:
    • Research and identify new KOL’s and speakers and industry trends for program topics
    • Support the administration of presenting companies
    • Provide strong customer service support to speakers, sponsors, and other stakeholders
  • Coordinate specialized program tracks/sessions at each event; spotlight sessions, sponsored programs, ancillary events, etc.
  • Collaborate with internal cross-department project teams to efficiently execute events
  • Travel to select conferences and supporting on-site speaker operations; registration, PowerPoint slides with program information, and staffing the program rooms, etc
  • Provide support and perform special projects as needed

Professional development – 10%:

  • Attend industry conferences, trade shows, and other events
  • Attend training
  • Develop skills to create and manage programs


Qualifications
  • Strong customer service or client management background, event management, and systems integration
  • Educated to degree (ideally in Business or Hospitality and Events) preferred, but not essential
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail,
  • Efficient time management and multi-tasking abilities,
  • Ability to work independently and in a team (positive, team-focused approach is a must)
  • Proficient in MS Office Suite, Google Docs, SalesForce, CORE; strong business writing and basic forecasting abilities
  • Biopharma industry knowledge and network preferred but not essential
