OVERVIEW

The Northern Devon Foodbank is a local charity (no. 1162651) operating mainly in the North Devon and Torridge Districts to relieve poverty and food insecurity. We have a network of locally managed Food Distribution Centres supported from a central warehouse. Our administration office is currently based in Bideford and employs both paid and volunteer staff.

We operate in accordance with a Trussell Trust franchise that affords us considerable local and national support.

The foodbank employs a small paid staff and about 140 volunteers to assist in the good operation of our services. Volunteers and staff are expected to exhibit behaviours and compassion compatible with the Christian ethos.

JOB DESCRIPTION

Responsible to: The Trustees of the Northern Devon Foodbank

Reporting to/Line Manager: Chairman of Trustees

Responsible for: General management and coordination of the foodbank project

1 year Fixed term: Flexible working, including some occasional evening and weekend working. Extension of term subject to negotiation after probationary period.

Salary: £30,000 p.a.

Holidays: 5.6 weeks including Bank Holidays

Overall responsibility of the job:

Oversee the operation of Northern Devon Foodbank, with concern for its operational efficiency and standards in accordance with The Trussell Trust franchise model.

In partnership with the steering and management group: guide the development of the foodbank project, including its material resources, financial assets, reputation, partnerships and volunteer body.

Ensure effective and inclusive collaboration between Volunteers and Paid staff.

Ensure regular communication with stakeholders, donors and referral agencies.

Specific responsibilities include:

Reporting to Trustees

· Report to the charity’s trustees at such meetings as the trustees may call

· Advise the trustees of exceptional events, such as complaints, major press contacts, accidents, external evaluations or risk to reputation

· Make recommendations to the Trustees in respect of future strategic developments

Strategic development

· Call meetings of the steering and management group six times a year, providing a report in advance and agenda

Trussell Trust compliance

· Comply with the terms of the foodbank franchise, including standard operating procedures

Communications

· Maintain the foodbank phone systems and email accounts

· Be the first point of contact for enquiries, responding on behalf of the foodbank with assistance from the administration assistant(s)

Foodbank centre(s) & Volunteers

· Visit the foodbank centres on a regular basis

· Liaise with foodbank centre managers to monitor operational standards

Food store

· Visit the warehouse on a regular basis

· Liaise with the warehouse manager to monitor operational efficiency

· Support the warehouse manager to monitor Health and Safety, ensuring compliance with statutory requirements and good practice

Food supplies

· Liaise with the warehouse manager to monitor stocks levels, issuing appeals as necessary

Data

· Be familiar with the on-line data system, monitoring the key data indicators

· Support data volunteers to ensure regular and accurate data of stock and vouchers

· Extract data for reports to the steering group or trustees

Agencies

· Communicate with referral agencies in response to queries or issues

Public Relations

· Oversee, prepare and issue newsletters and social media content to maintain engagement of supporters and partners

· Issue press releases as appropriate, and respond to local press enquiries

Finance

· Comply with the foodbank’s finance policy.

· Liaise with the steering group to identify resources for central purchase

· Provide the volunteer treasurer with details of payments and receipts, and supporting documents, to enable proper accounting

Quality Assurance

· Monitor the views of stakeholders

· Undertake the annual Quality Assurance visit from The Trussell Trust

PERSON SPECIFICATION

Experience:

· Experience of managing people

· Experience of working or volunteering in an organisation that deploys volunteers

· A sound understanding of, and experience of engagement with, Churches, Charities and Statutory Organisations

Key Skills:

· Ability to manage and monitor the development of a project

· Delegation skills

· Good oral communication

· Confident user of email, document and spreadsheet applications, and internet

· Ability to work independently and unsupervised

· Numerate and comfortable interpreting statistical data

· Empathy and ability to work with people from disadvantaged, marginalised, or socially excluded backgrounds

Personal attributes:

· Honesty and integrity

· Passionate about tackling poverty

· Driver with current licence

· 2 Satisfactory references

· Clear Enhanced DBS
