An ambitious consultancy firm based in close to Marble Arch Station is seeking a Receptionist/ Office Manager to join their team.

Paying up to £45,000 (based on experience) the role will be working 5 days in the office and will be based front of house while supporting the senior management and the wider team with administrative task. This is a really varied and multifaceted role, so would be great for someone looking for an all-encompassing position with many elements to it.

Duties will include the following:

Reception duties

  • Telephony (answering/transferring calls, taking/forwarding messages)

  • Meeting and greeting visitors and providing refreshments; maintaining visitor book
  • Answering door and taking deliveries
  • Distributing and sending post
  • Organising internal and external meetings/conference calls, internal events
  • Maintaining communication tools for business (Slack, Zoom, etc.) and providing training to team members
  • Arranging general bookings (taxi, couriers, travel including hotel, flights, restaurants, equipment), running various errands
  • Arranging food and beverage orders where necessary
  • Maintaining and keeping communal areas tidy including meeting rooms, library, and reception area
  • Reporting maintenance issues
  • Handling petty cash, completing monthly expense report, petty cash count

Office support

  • Maintaining office supplies (groceries / stationery / office equipment)
  • Liaising with corporate suppliers including building, cleaning, taxi for business, printing
  • Ordering office supplies, including kitchen, bathroom, and general office restocking (groceries, stationery, hygiene supplies, printer cartridges, small items of office equipment)
  • Maintaining both internal and external employee phone number lists
  • Keeping the printer areas (ensuring the printers are fully stocked with paper and printer cartridges), office and server room tidy
  • Daily shredding, disposal of sensitive documents and removal from shredding trays
  • Mailbox management for enquiries
  • Preparing weekly case manager's meeting slides on power point
  • Maintaining internal office calendar (holidays, working from home)

Assistant to Department Heads

  • Telephony and diary management
  • Travel and meeting arrangements
  • Personal support (running errands/purchasing, expenses, IT issues, etc.)

The ideal candidate will come from an office support background and will have experience working front of house for a busy organisation where you were involved in much more then just reception duties. You will be looking for a role that where you will be the go-to person for the office, enjoying supporting the team with their administrative duties as well as providing high level customer service to all company visitors. You will enjoy working autonomously on duties, taking the initiative while not being afraid to make day to day decision.
