Job Description :

37.5 hrs:

Up to £24,000 per annum + Corporate Company Benefits

Occasional business travel throughout UK


Key Purpose:


To support the management and compliance of the supply chain vendor list and associated documentation in accordance with the agreed supply chain strategy for VIVO. The Procurement Administrator will work with the wider Procurement Team to help maintain compliance to VIVO standards and systems, acting as a key point of contact to the business site teams and external vendors to offer advice, guidance and first tier escalation to problems.


Key accountabilities:


  • Reviewing new vendor requests internally and engaging with the vendor to obtain the relevant details in a timely manner.
  • Build and maintain good relationships with new and existing vendors and internal stakeholders to make vendor recommendations back to the site teams.
  • Coordinating with vendors to ensure to full verification and adherence to VIVO quality standards, managing relationship with vendor assessment partner.
  • Liaising with Share Business Services partner (Serco Limited) to manage Master Data changes, one time vendor requests, Direct Debit Mandates and other relevant associated processes.
  • Obtaining vendor performance data through surveys, feedback, and criticisms and provide back to the wider procurement team to improve vendor relationships.
  • Creating and managing documents, spreadsheets, and presentations.
  • Compiling reports and data sets from available material.
  • Actively managing vendors and ensuring they are compliant with all quality requirements as per VIVO standards.
  • Maintaining vendor databases, ensuring the data is always up to date with the correct information.
  • Using Service Now to manage requests for new vendors to be set up
  • Raising purchase orders in SAP


Experience:


  • Significant experience in administrative tasks with excellent MS Office package skills
  • Experience evaluating data sets.
  • Some stakeholder engagement, communication & influencing skills.
  • 1-3 years in an administrative role.


Knowledge & Skills:


  • Excellent verbal, written and communication skills
  • IT literate with a good level of experience in Word, Excel, Powerpoint & Outlook
  • Keen attention to detail and analytical skills.
  • Highly organised with the ability to multitask multiple projects.
