The Role:


The executive assistant role is someone who thrives in a fast-paced environment where no two days are the same. The role will be split equally between supporting the Chief Executive Officer primarily, the senior leadership team and managing our Support Centre.

As an Executive Assistant, you will be responsible for organising diaries, meetings, schedules and travel arrangements, providing project and strategy management support, preparing board reports and organising office events. You will be responsible for a variety of tasks across all departments including Finance, Operations, Marketing and People. Attending board meetings and occasional travel will be required.


You will report directly to our CEO and success in your role will be based on support and building strong relationships with both our Executive and Support Centre teams.


You will contribute to the efficiency of our business by giving personalised and timely support to our Executive team members, whilst ensuring that our Support Centre runs smoothly. Above all – to be successful in your role, you should be well-organised, have great people and time-management skills, and a strong ability to plan and work autonomously.


We’re looking for someone who is passionate about Turtle Bay and willing to learn about every element that makes us who we are – from the islands that inspire us, to the music that moves us – and all the rum and food in between! This role is the face of our office and a real brand champion.


The role will be based at our Bristol Support Centre, with core hours of 9am-5pm, Monday-Friday.

Key Responsibilities:

  • Supporting the EA with diary, travel and expense management for the CEO, CFO
  • Supporting the executive team with arranging interviews and processing expenses
  • Attending board meetings
  • Project and strategy management Managing our Support Centre, ensuring we are compliant, and the team are happy!
  • Coordinating team socials, company events and supporting with wider event management including offsite events for the senior leadership team
  • Occasionally inducting new team members to Support Centre, coordinating IT, induction plans and introductions
  • Act as the first point of contact for all Support Centre contractors
  • Minute all executive and senior leadership meetings and follow up
  • Ad hoc administration and project-based tasks as advised by the CEO, CFO and senior team
  • Preparing reports for the leadership team
  • Management IT accounts, organise and be responsible for all IT kit across the support team
  • Management and organising of the support centre ensuring office equipment is in place and working
  • Health and safety management of the offices


Desirable skills:

  • Strong attention to detail
  • Experience in an Executive Assistant/Office Management role
  • Excellent written and verbal communication skills
  • A confident telephone manner
  • Organised, proactive and able to work autonomously
  • Ability to juggle multiple tasks and deliverables at any one time
  • Project management skills
  • Strong computer skills including Microsoft Office and Excel
  • Outstanding organizational and time management skills
