The Portfolio Governance Officer is a varied role, covering operational and project / portfolio management responsibilities. The role is within the SQA Governance team and reports to the Portfolio Governance Lead.
The successful candidate will be highly organised, results focussed with excellent communications skills. They will oversee many moving parts within the organisation and must therefore have a strong eye for detail, with the ability to prioritise, organise and delegate accountability and responsibility where required.
In addition, the Portfolio Governance Officer will be a strong people manager; able to guide and motivate individuals and cross functional teams. They will need to have strong influencing skills plus the gravitas and stakeholder management experience to deal with both internal and external Senior Leadership Teams SQA Consulting and client senior management teams.
Key Responsibilities
The Portfolio Governance Officer will have the following responsibilities:
Governance
· Establishes best practice, including templates and guidance. This includes both project / programme management and wider processes and procedures e.g., recruitment, forecasting, onboarding etc.
· Provides coaching, training to ensure that governance is understood and evidenced by project managers.
· Monitors governance to ensure it remains fit for purpose and collects feedback to ensure continuous improvement.
Project / Portfolio Management
· Support the setup of new projects (client-facing and internal) using SQA standard governance and tailoring this to the requirements of the customer when required.
· Attend stand ups and other ceremonies / meetings where required to support the project manager / scrum lead.
· Provides light-touch PMO support; coaching and mentoring project managers to ensure they are self-sufficient in this respect
· Delegate for project manager / scrum lead on occasion (generally none-client facing)
· Ensure all governance is followed to agreed quality; status reporting, RAID, ceremonies, key documents.
· Report general concerns, observations, and achievements back to SQA Leadership
Status Reporting
· Ensure standard templates and tolerances are used.
· Identify and deliver improvements to the reporting process.
· Review status reporting for quality of information and coach project managers / scrum leads to ensure this is maintained
· Reports must be queried before presentation to the Leadership team
· Leads weekly status meeting in lieu of member of the Leadership team
· Consolidation and presentation of KPIs, trends and messaging for SQA Consulting Leadership team
Forecasting
· Work with provided information to understand the wider forecast (pipeline v. confirmed) and provide from daily contact with projects.
· Work with Human Resources and HR to understand timelines for onboarding and capturing the details of actual resources into the forecast.
· Working with Human Resources on managing joiners and leavers.
· Support the provision of actuals from projects for client invoicing.
· Support Human Resources and project managers in managing absence requests.
Other
· General support for SQA Leadership in the creation of presentations, marketing materials and will require string Microsoft Office skills.
· Support the development of culture, learning and strong communication.
· Be comfortable in operating SQA internal systems, which support the HR, forecasting, project and time management roles.
Skills and Experience
The successful candidate will be able to demonstrate the following should demonstrate the following skills & experience:
· Experience gained from working in client-facing roles within a technology matric environment.
· Able to demonstrate a significant contribution to / Leadership of projects / initiatives.
· In-depth understanding of financial forecasting processes.
· Must have good knowledge of Agile ways of working and experience supporting Agile teams.
· Comfortable with working at all organisational levels.
· Experience of working with internal and customer facing teams.
· Used to working in a fast-moving environment with frequent context swapping.
