UCLH is looking to recruit a Project support/junior manager. The post holder will help to deliver the Trust’s Outpatient and Administration
Transformation programme, alongside ensuring UCLH delivers the benefits from its EHRS programme. You will be supported to develop your
project management skills.

This is an exciting opportunity to work at the heart of UCLH and support the Executive Board in delivering its vision for a world class hospital.

  • Provide overall project support to the smooth and successful running of the Outpatient Administration Transformation team and its programme of work
  • To support a number of projects related to the transformation of outpatient services at UCLH, seeing these through the project lifecycle, i.e. project initiation, delivery, mobilisation and review
  • Successful delivery of work and implementation of allocated projects and tasks on time

Outpatient and Administration Transformation Strategy

The strategic development of administration and outpatients is a top priority for the Trust in the coming years, the Board and the Chair. We are due to publish a radical Trust-wide Strategy for UCLH, linked to the STP programme, to rethink the way our services are organised, implement new outpatient models of care and to radically update our administration systems. We also need to capitalise on our significant digital investment and capability to deliver transformation, and reimagine how outpatients and administration work for patients. This is also a National Strategic Priority in the NHS Long Term Plan, with new requirements placed on UCLH to reduce outpatient appointments.

Project and planning responsibilities
1. Contribute to the planning and organisation of a range of complex projects related to Outpatient Administration Transformation team and its programme of work. This could include telephony project, Patient Initiated Follow up, Video clinics, Exemplar Admin and more.
2. Help develop analysis of data and information relating to the performance of the organisation.
3. Contribute to project planning, identifying all activities, setting milestones and identifying activity owners.
4. Monitor and track project progress against the plan, making adjustments if targets are not met, and providing recommendations for adjusting plans, strategies or programmes to the relevant governance forum.

Understanding the sustainability agenda
1. Maintain a good awareness of the strategic aims of the Outpatient Administration Transformation team and its programme of work.
2. Contribute to work and projects related to Outpatient Administration Transformation team and its programme of work.
3. Support the creation of reports on findings.

Communication and relationships
1. Act as a point of contact for staff who wish to raise issues or questions about the Outpatient Administration Transformation programme of work, resolving problems, addressing feedback with appropriate actions and using highly effective communication skills i.e. negotiation, persuasion, empathy
2. Liaise with a range of internal and external stakeholders to coordinate the Outpatient Administration Transformation programme of work activity and at times using negotiation skills to reconcile the conflicting needs of the different parties.
